Campaign Board Automations let you automate repetitive tasks—like sending emails or products, creating discount codes—using custom workflows based on specific triggers.

Instead of handling everything manually, you can set up rules that run automatically when something happens in your campaign.

What Can You Automate?

With Campaign Board Automations, you can automatically:

  • Send emails or email flows

  • Send products to creators

  • Create discount codes, custom links, and set commissions

  • Invite creators to their dashboards

  • Move deals between stages and campaign boards

  • Trigger notifications (Slack, email, etc.)

  • And much more!

Key Terms You Need to Know Before Getting Started

Before creating your first automation, it helps to understand these three core concepts:

  • Trigger: What needs to happen for the automation to start.

  • Conditions: Additional criteria that must be met for the automation to run. These help narrow down when the trigger should apply.

  • Actions: What the platform does automatically once the trigger happens and all conditions are met.

For example, if you want the platform to create a discount code the moment an influencer is moved to the Awaiting Post column, here’s how that would look:

  • Trigger: Deal Stage Update (The creator is moved from one column to another)

  • Condition: Current Funnel Step; Stage = Awaiting Post

  • Action: Create Discount Code

As soon as the creator is moved to Awaiting Post, Influencer Hero creates their discount code automatically—no manual work required.

How to Set Up Automations

Step 1: Go to your desired Campaign Board and open the “Automations” tab.

Step 2: In this tab, you will immediately see the automations that are set up by default. You can keep, edit or delete these.

To create a new automation, click “Add new rule”.

Step 3: Create your workflow by selecting:

  • A trigger

  • One or more conditions

  • One or more actions

  • Execution setting: run it every time the trigger and conditions are met, or just the first time.

Once everything is set, save the rule.

Useful Automation Workflows

Below are some practical example workflows you can also implement in your Automations to save time managing campaigns!

SEND PRODUCTS + CREATE AFFILIATE DETAILS

Use case: Automatically send products and create affiliate details when a creator is ready to proceed (moved to Awaiting Post column).

  • Write an email flow so the first email is to notify the influencer the product is on its way and share with them their affiliate details, then the follow ups so you don't have to check in for their posts manually

  • Discounts and links are created based on the influencer's handle. The field in the custom link action can be filled in if you want the link to lead to a landing page, otherwise if left empty, it leads to the brand's home page.

SEND “THANK YOU FOR POSTING” MESSAGE

Use case: Automatically thank creators when their content goes live.

  • Run once (after their first post)

  • Or run every time they post

MOVE TOP PERFORMERS TO ANOTHER CAMPAIGN

Use case: Automatically identify high-performing creators and move them into a VIP or advanced campaign, to offer them more opportunities or inviting them to seasonality campaigns.

  • Create a separate campaign for top performers, where you can customize the columns and separate them as desired.

Settings:

INFLUENCER ISN’T HAPPY NOTIFICATION (*REQUIRES SLACK INTEGRATION)

Use case: Get notified immediately when a creator sends a negative or frustrated message. If an influencer isn’t happy with how things are going, you are risking a bad review that can go viral. But this can be avoided if it’s caught in time and dealt with properly!

  • This automation can work for any kind of Slack notification you want to receive (any time someone posts, whenever someone becomes a top performer and include it in the automation mentioned above, etc)—this is just one example for brand safety!

SEND COLLABORATION CONTRACT (*REQUIRES CONTRACT-SIGNING PLATFORM INTEGRATION [E.G BOLDSIGN])

Use case: Automatically send contracts the moment you know you are ready to proceed with an influencer partnership.

  • It's recommended to create a column for this scenario, so you move influencers to this column and the contract is then sent automatically with the influencer's info and possible variables.
