Setting up an email flow

In Influencer Hero's CRM, you have the ability to set up multiple emails and schedule them in a sequence, eliminating the need to manually send follow-up emails. The created email sequences can then be used for e.g. an influencer outreach.

Step 1: Click the “Outreach” button

Step 2: Select “Email Flows

Step 3: Click “Create New Flow” to create a new email sequence to send to influencers

Step 4: Fill in the flow name, e-mail subject, and the e-mail body

When setting up the email template, you can use template variables to personalize the email. The variables will auto-populate when the email is being sent. You can find detailed instructions on Template variables here. For the outreach itself, the following template variables are available:

  • {{influencer_handle}}
    • The social media handle of that influencer. 
  • {{firstname}} 
    • The Influencers first name (populates from our database). During the outreach, this is available for ~60% of accounts; it is thus advisable to define a default parameter, e.g.: 
      • {{ firstname|default("there") }}
      • {{ firstname|default(influencer_handle) }}

Step 5: After you've completed the first email, you can set a waiting time before the first follow-up email is sent. Waiting time is for you to wait until the influencer responds to your first email.

Step 6: It is generally best to set a waiting time of 48-72 hours between each email.

After waiting, you can “add email” to the first follow-up email. If the influencer does not respond to the first email within the specified waiting time, they will automatically receive the first follow-up email. If they do respond, they will not receive any follow-up emails.

You can add multiple follow-up emails with waiting times in between. However, for best results, it is recommended to send a total of 3-4 emails (one outreach email and 2-3 follow-up emails)

Step 7: Once you have finished setting up the email sequence, it will end with "Deactivate deal if no response is received by then." This means that if the influencer does not respond to any follow-up emails within the specified waiting times, they will be deactivated and will not receive any further emails.

Click "Save Changes" to save your email sequence

Step 8: You should now see the following on the “communication flows” page
